Frequently asked questions

What is the EUDR and who does it apply to?
The EUDR (EU Deforestation Regulation) requires operators and importers who place coffee, cocoa, soy, palm oil, rubber, timber or cattle on the European market to prove their products are not linked to deforestation after December 2020. Legal responsibility falls on the operator placing the product on the EU market.
What is the difference between an operator and a trader under the EUDR?
The operator is the one who first places the product on the EU market (usually the importer). They have the full due diligence obligation: collect information, assess risks and submit the DDS in TRACES. The trader buys or sells the product once it's already on the EU market. Large traders have the same obligations as operators; small ones (SMEs) only need to keep supplier and customer records.
Do I need EUDR software to import to the EU?
It's not legally required, but the EUDR demands verifying geolocations, analyzing satellite imagery, assessing country-level risks and generating Due Diligence Statements for each shipment. Managing this manually across multiple suppliers and lots is practically unfeasible. Coolx automates the entire process and connects directly to TRACES.
When does the EUDR come into effect for importers?
December 2026 for large companies and June 2027 for SMEs. The TRACES system testing phase is planned for October-December 2026. Importers who aren't prepared by then risk penalties of up to 4% of their annual EU turnover.
Who is legally responsible under the EUDR?
The operator who places the product on the EU market is legally responsible. As an importer, you are the one who must submit the Due Diligence Statement (DDS) and prove the product is not linked to deforestation.
What is the DDS and how is it submitted to TRACES?
The DDS (Due Diligence Statement) is the mandatory declaration you must submit to the EU TRACES system before importing. Coolx generates the DDS automatically and submits it via direct integration, without you leaving the platform.
What are the penalties for non-compliance?
Penalties can reach 4% of the operator's annual EU turnover, plus product confiscation, exclusion from public procurement and temporary trade ban.
Can I connect my suppliers?
Yes. Coolx allows you to invite suppliers directly to the platform. They upload their information (plots, documents) and you verify it from your dashboard. The platform is available in Spanish, English, Portuguese and French.
When does the TRACES testing phase start?
The TRACES system testing phase for the EUDR is planned for October-December 2026, before the mandatory enforcement in December 2026. Being prepared before that date is critical.
Does Coolx integrate directly with TRACES?
Yes. Coolx has direct SOAP integration with the European Union TRACES system. You can create, submit, query and amend your DDS without leaving our platform.
